A legal team may search by matter and document type; a property team by asset and date; an archive by collection and creator. Index fields should be designed around these retrieval needs rather than copied from a generic metadata list.
The dictionary defines field meaning, format, accepted values and whether several values may be entered. This prevents one operator from using “agreement” while another uses “contract” for the same approved class.
Classification should remain evidence-based. If a document appears related to a matter but lacks the required reference, the index should show uncertainty instead of creating a false link.
